Schedule Your Health Coaching Business For Success
Do you run your life, or does your life run you?
A lesson I learned very quickly as a Health Coach is that scheduling can be one of the biggest secrets to success.
When I first started my coaching business over two years ago I thought it’d be best to fully open my time to the needs of anyone and everyone who wanted my help.
This scattered schedule led me to feeling unfocused, unproductive, and burnt out from attempting to do 101 things all at once. By the end of most days, I didn’t even know what I had accomplished.
As a new, full-time #wellpreneur responsible for doing all the things — like social media, coaching, website, blogging, videos, emails, and keeping up with my health — I knew I had to figure it out!
If you’re a new Health Coach or entrepreneur, I’m guessing you know what I’m talking about, and would love to know more about why scheduling is necessary for success!
Because after all, you want (and are going to be) a successful Health Coach!
When you are first setting up your schedule and systems, just know that it will take some time.
Try to think of it as a fun science experiment where you have to try and adjust certain things to see what works best for you and your business.
Listen, I know you want me to be clear and simple — so, I’ll get to the point and share my top tips and tricks for scheduling like a pro!
SCHEDULE YOUR HEALTH COACHING BUSINESS FOR SUCCESS
1. SCHEDULE IT OR IT PROBABLY WON’T HAPPEN
Let’s be real! You know that project that you keep pushing off because you don’t really want to do it? Or maybe because have some fear around? Yep, it’s still not done! (I can see the look in your eyes, which tells me that I’m totally right!)
Let’s talk about you as a life-changing, impactful, and money making Health Coach! You have work to do, of course, but you also need to have a life!
That’s the glory of having it all scheduled!
When you visualize and get clear on what you want to happen, and you know your reason why, the only detail left is to decide WHEN it’s going to happen.
For example: You just graduated, and are now a Certified Transformational Nutrition Coach (congrats, by the way!) It’s time to find some clients, and you decide that you want to start by targeting your Instagram followers!

You have never really shared anything like this on Instagram and you gotta admit, it’s a little scary!
You’ve just arrived at a crossroads! You can either post something RIGHT NOW, or look at your calendar and decide that Friday at 5pm feels a little better for you!
So, you DECDIE to share it on Friday so that after you can go to happy hour with your friends and celebrate your graduation!
See! It’s easy peasy to pick a date and time, do it, and then reward yourself with something fun!
Don’t overthink it, just do it! (#nikeslogan)
2. PROTECT YOUR TIME
When you say “yes” to something, that means that you are saying “no” to something else, and vice versa.
Before immediately responding to someone else, ask yourself these two questions:
- What do I really want to say yes to?
- What do I really want to say no to?
This practice takes some time to solidify, because we (as Health Coaches) tend to be people pleasers and want to make everyone happy. I get it!
The good news is that you can learn to do this all while protecting your energy and boundaries so that you can stand more fully in your power, truly show up and in turn, serve more people. #goals
Let’s say that you have a potential new client who would like to have a free 30 minute discovery session to see if it is a good fit to work together. When will you schedule this?
The key to success with scheduling (especially as a new coach) is to offer two different options based on your ideal times, where YOU will be in the right mindset to show up fully for them.
You could say to them, “Great! I’m looking forward to our call together. I have Monday at 4pm or Tuesday at 3pm. Which time works best for you?”
Another brilliant option, which I highly recommend, is to use an automated system to take the back and forth out of the equation!

3. TRAIN OTHERS HOW TO RESPECT YOUR TIME
Time is your most valuable asset! #preach
People will give and take your time. The key is to train them to respect it!
Here’s what I mean: Let’s say that you are super focused on writing your blog post when your client emails you.
Do you respond immediately and risk completely derailing your train of thought? Or, do you turn off your email notifications and respond to your client at a later time that works better for you?
When you choose to quiet your notifications and respond to emails at a later time, you’re setting boundaries and showing your clients that you will respond when it works best for you.
If you email your client back right away, it may be assumed and expected that you’ll do this again and again.
You can also make it a practice to let clients know you only respond during specific times and days. This way, everyone feels their needs are being met and is in the same boat!
4. WORK SMARTER WITH AUTOMATED TOOLS
A few smart, automated tools can help you create consistency in your business without even having to thinking about it!
Using Google Calendar to set recurring time blocks (with pretty colors, of course!) for your most important tasks. Taking the time to set your ideal schedule can help you see what a productive week in the life of YOU looks like.
The project management tool Asana can help you take bigger tasks and break them down into bite-size steps with due dates — there’s even flying unicorns! #magical
I love to use Acuity Scheduling to book all my client sessions! First, you open up your best days and times for sessions and block off the days where you’re creating content, doing admin tasks, speaking, writing a book, or chillaxing on a beach somewhere.
You then share this Acuity link with your clients and let them book on the days available for sessions! Voila!
I’ve found this is much easier than the dreaded (and mistake ridden) back and forth — you KNOW what I’m talking about!
You can even set up Acuity so that it automatically sends reminders, gives pre-call intake forms, and sends a post-session questionnaire. This means way less work for you! It’s a win-win for everyone!
Lastly, you need to have some awareness around your activity and where you are spending your time. You can do this easily with the Apple iPhone “Screen Time” tool.
I can honestly tell you that I’ve spent way too much time scrolling through social media when I swore I was only on for a few minutes. Can anyone relate?
After seeing where you spend time you can keep it or reallocate the time towards what really serves you best — like making that money, honey!
SCHEDULE LIKE A PRO
Imagine how much better you’ll feel after having an organized schedule and a clear understanding of your most pressing tasks!
Your clients will quickly notice that you are more focused, clear, and present with them — as will the loved ones in your life!
If you want to be successful, you have to start scheduling the way successful people do! Along the way, you’ll find what works best for you and your business! Plus, you’ll start to see that you have more time for fun and enjoyment!
